CopinionPilot

Privacy notice

Last updated October 26, 2026

Draft for the pilot. Items in [brackets] are to be completed, and the whole text reviewed by counsel before it is shared.

This notice explains what Copinion does with the information you and your firm put into it during the pilot.

What we hold

  • Account details: the name and email address of each person who signs in, and when they do.
  • Client files: the general ledgers, trial balances, broker statements and exports, workpapers and other files you upload, the settings and mappings you save, and the statements and workpapers Copinion produces from them.
  • Feedback: notes you send with "Send feedback", with the page they were sent from.

Where it is kept

Files and records are stored with Supabase (database and file storage) in the United States (US East), encrypted at rest and in transit, and the app runs on Vercel. Access is limited to people in your firm's workspace; each firm's data is kept apart from every other's by the database's access rules.

The AI assistant

Some steps — suggesting a mapping, checking flagged transactions, reading broker statements and prior-year statements (PDFs) — send the relevant part of a file to Anthropic's API to be processed. If you switch on the AI close review when you run a period, a summary of the books is also sent: account balances, monthly activity and the largest entries. Anthropic deletes what it receives through its API within 30 days by default (longer only if its systems flag content as breaking its usage policy), and does not use it to train AI models. Every figure in the statements is calculated by Copinion itself; broker exports and reconciliation workpapers are read by the app without the AI assistant.

Who sees it

People in your firm's workspace. On our side, only Michael, who runs Copinion, may look at your data, and only with your permission, to support you or fix a problem you report. We don't sell it or share it with anyone else, except service providers named here or where the law requires.

How long we keep it

For the length of the pilot. When the pilot ends, or on request at any time, we delete it within 7 days and confirm in writing. Uploaded files are not kept in backups; copies of database records in backups expire within a further 7 days. Download anything you want to keep before asking: deleted data can't be recovered.

Your choices

You can ask us for a copy of your data, to correct it, or to delete it. Please don't put information into feedback notes that isn't needed, such as account numbers.
